A better equipment purchase starts with information that both buyer and supplier can check.
1. Match the order
Check offered model, serial number where assigned, quantity, attachments and agreed options against the order. Record substitutions and obtain written agreement before acceptance.
2. Agree functional checks
Define the appropriate checks for the equipment: starting and operating functions, movement, controls, accessories or agreed factory tests. Some tests require a specialist or a prepared test setup; specify the method and acceptance criteria in advance.
3. Document the shipment
Confirm packing list, commercial invoice and the documents agreed for the destination. Capture packing photographs and identification marks. Document availability depends on the equipment, supplier and destination; do not assume a generic certificate covers every shipment.
4. Close open items
Use a punch list with responsibility and resolution dates. Confirm how issues affect shipment release. Keep the approved inspection record with the order and operating documentation.
